2.1. User assignment:Applications are received via the interface or e-mail, and the user is defined by Nautilica and the user name is sent to the person. The data to be requested during the application; company name, tax number, company authorized name-surname, phone number, company address. Afterwards, a link is sent to the company representative to create a password. Nautilica reserves the right to request additional documents such as authorization records for the company representative in order to verify identity in this process. The company official appointed by Nautilica can appoint more than one person as a user other than himself. Company authorized users can remove each other's authorizations. The last remaining company authorized user cannot remove their authority. The legal reason based on this process is "It is necessary to process the personal data of the parties of the contract, provided that it is directly related to the establishment or performance of a contract".
2.2. Creating a request for proposal and acceptance of offers:In this process, only the name, surname, phone number and e-mail address of the user company representative are included as personal data. In addition, it is thought that data such as company name, loading place, delivery place, etc., which are processed by the user in the software while creating the request for quotation, may be indirect identifiers for the users. We declare that we do not use this data for any purpose other than the purposes we have assumed in the User Agreement. The legal reason based on this process is "It is necessary to process the personal data of the parties of the contract, provided that it is directly related to the establishment or performance of a contract".
If you upload the data of third parties (for example, the phone number of the driver in charge of the shipment) to Shipmind, we remind you that you must inform these persons about this Disclosure Notice without delay.
2.3. Product promotion by meeting the demo request:Potential users can request a demo via the website. In this case, we will contact the requesters to forward the demo version. The legal reason based on this process is "It is necessary to process the personal data of the parties of the contract, provided that it is directly related to the establishment or performance of a contract".
User records are destroyed if the registered company wishes to terminate the use of Shipmind and/or the agreement with Nautilica is terminated. In addition, authorized users can be removed from the company's admin account while the Shipmind account of the relevant company is active, in this case the old authorized user records are deleted.
On the Shipmind portal, the Requesting Users can view the Tenderers whose bids have been posted and send a bid request to these people. Requesting Users (Freight Forwarders and Agents) can respond to Bidders' requests for bids. Portal servers are located in the European Union. We declare that Shipmind is a platform that brings together the commercial parties involved in import and export transactions, and user data can be transferred abroad in accordance with international trade legislation due to the ordinary course of business. It is our priority not to transfer and disclose the data to third parties, except in these cases.
Data Subjects’ can exercise their rights set forth in Articles 12 to 23 of the Regulation (EU) No. 2016/679 and/or Article 11 of the Turkish Law No. 6698 at any time by applying to the above-mentioned correspondence address.
